Volunteer Post Assignment Template

A ready-to-use coverage map for a typical Sunday service — adapt it to fit your campus.

This template gives your security team a standardized post assignment structure for a typical Sunday service. Every post has a defined name, arrival time, set of core duties, and a clear instruction for what to do if an incident occurs. The volunteer name column and notes column are intentionally left blank — fill them in before each service. Post assignments should be distributed to volunteers in advance, not handed out at the door.

Note: Every church campus is different. Add, remove, or rename posts to match your specific layout. This template covers the most common coverage areas identified across church security best practices — it is a starting point, not a ceiling.

Key Principles Behind This Template

Zone-based coverage eliminates blind spots.

When everyone is on "general security duty," everyone assumes someone else is watching the children's wing. Assigning each volunteer to a named zone with specific responsibilities removes that ambiguity entirely.

Arrival times matter.

A volunteer who arrives at the same time as the congregation is already behind. Staggered arrival times ensure that every post is covered before the first person walks through the door. Exterior posts should always be staffed first.

The parking lot is your first line of defense.

Multiple sources consistently identify the parking lot as the highest-risk area on a church campus. Many serious incidents begin before anyone has entered the building. A visible volunteer presence in the lot is one of the most cost-effective deterrents available.

One exterior door. All exits open.

During a service, only one exterior door should remain unlocked from the outside. Every exit must remain accessible from the inside and have a person stationed nearby in case of emergency.

Never communicate via the congregation's channels.

A radio call that carries across the sanctuary announcing a threat can cause exactly the kind of congregational panic that complicates a response. Security teams need a private, dedicated communication channel.

What Safely Gathered Does With This: Safely Gathered builds post assignments into every event — volunteers receive their assignments before the service begins with no manual distribution required. A dedicated team chat keeps all communication private, and emergency SMS alerts reach every approved volunteer instantly.
